All mail generated by the College, along with all mail delivered to the College by the United States Postal Service or express delivery services, will be distributed through the Student Mailroom. The mailroom supports over 4000 mailboxes for qualified students and student organizations. Throughout the year, you will have access to your mailbox during the operational hours of the Student Union.
Mailbox Requirements
A student is required to have a mailbox in the Student Mailroom if they meet one of the following conditions:
- Residency - student lives on campus
- Undergraduates - student is registered for 9 or more credit hours
- Requests made by a registered student (Every effort will be made to meet this request, however, mailbox issuance will be based solely on box availability.)
Mailing Address
Prior to your entry semester, the Student Mailroom will assign all qualified students a campus mailbox. This will then create your official SUNY Potsdam mailing address. See example below.

Upon the completion of your course registration, you will be assigned a campus mailbox. In August, the Student Mailroom will release your specific mailbox assignment to you. You will receive an email notification, sent to your SUNY Potsdam e-mail address, that will share the specific address details.
Your mailing address will remain the same for the duration of your study at SUNY Potsdam. This mailing address will be used by others (both on campus and off campus) to contact you. When you receive your mailing address, be sure to share it with your family, friends and any company, group or agency whom you anticipate receiving mail or packages.
Mailbox Activation
When you arrive on campus, you will need to go to the Student Mailroom located on the first floor of the Student Union to sign out your mailbox key. Please note the mailroom service hours below to complete this process.
Your mailbox should be checked regularly to ensure that you receive any important correspondence from the College in a timely manner.

Why Having Your Identification (ID) is Required
- You are required to present your ID when picking up mail so we can properly identify you to ensure that the mail is provided to the correct person.
- It is important to provide your ID because it aids in the identification of your mail by the staff who are confirming your mailing address in Banner.
- By providing your SUNY Potsdam ID card it further assists the mailroom staff because it can include both your legal/given name and your preferred name (if you have registered your preferred name with the College).
Required Legal Compliance in Processing of Mail
- We want to remind all that the processing of mail requires compliance with legal requirements.
- Most mail is addressed with legal names which helps us ensure proper delivery and legal compliance in the processing of your mail.
- In some cases, legal names might still be required for official documents or certain types of mail.
Our Efforts to Recognize Preferred Names
- While legally we are not able to change legal names on packages and other mail, we can ensure you that we work hard to include notations of preferred names as noted in Banner when feasible.
- Please note that due to the high volume of mail being processed, such notations may not be feasible on all mail and packages. As a result, the legal name noted on the mail may be the only form of reference to identify you.
- We also do our best to refer to those at the service window by their preferred name. If we do not use your preferred name, we ask for your patience and invite you to respectfully bring it to our attention.
Here is what you can do to help
- Provide your SUNY Potsdam ID, and make sure the staff knows that there is a preferred name on the back of the ID.
- If your preferred name is not used by the staff, respectfully remind them that you have a preferred name.
